Data and System security
Ensuring Data and System security involves a number of elements, including physical security (ensuring that vulnerable equipment is locked away, doors are locked, computers are not left logged in), secure passwords, anti-virus software, regular backups, network security (including firewalls).
ITS take various measures to protect systems at Birkbeck, including:
- Antivirus. The Trend Officescan antivirus suite is licenced for use on Birkbeck computers (but is not licenced for home use).
- Email anti-virus and anti-spam. All incoming email messages to central systems are scanned for viruses and to check for spam using the MessageLabs service.
- Centralised backups. All central filestore is backed up by a variety of means (dependent on the data). This might include backup to disk, off site locations or tape.
- "Trash" folders. ITS windows based filestore allows recovery by users of files deleted in the previous month. Exchange email users may use the "recover deleted items" facility to recover messages deleted within the previous two weeks.
- Firewall. A perimeter firewall is used to prevent unauthorized access to systems at Birkbeck.
- The development of policies, including the Computing Regulations, the Network Security Policy, Policy on staff use of internet and email.
- Education and training.
All users need to take steps to protect their systems and data:
- Never allow your password to become known to anyone else.
- Always backup local systems and filestore.
- Always secure mobile systems in locked cupboards.
- Always keep your office door locked when the room is not occupied.
- Always ensure that no-one can walk up to your computer and use it without first logging in.
